Full Payment & Names Due: At Time of Booking
GROUP TERMS AND CONDITIONS:
- These Group terms and conditions apply in addition to the Sunwing Vacations Website Terms and Conditions. If there is an inconsistency between these Group terms and conditions and the Sunwing Vacations Website terms and conditions, then the Group terms and conditions shall prevail.
- Group rates are based on a minimum of 10 people travelling to the same destination and booked together, including same departure/arrival date (the "Group"). Should the Group fall below this minimum number, this booking will revert to the published brochure rate at the time the booking was made and the Group discount will not apply.
- Group booking details such as departure dates, duration(s), gateway(s), destination(s), passengers/room counts, room categories, prices, payment schedule, and EBBs are found in the INVOICE/GROUP BOOKING and any amendments thereto and form a part of this Contract.
- Prices are guaranteed only for the Group members for whom a deposit has been made. All guests wishing to be added to the Group hereafter may be subject to price increases including matters over which Sunwing Vacations has no control, including, but not limited to, fuel surcharges, government and other taxes or fees and currency fluctuations.
- We reserve the right to cancel Group inventory if you fail to comply with the payment terms or other requirements outlined in this Contract. In the event that we cancel, penalties as outlined in this Contract would still apply.
- E-Tickets are released approximately 1-3 weeks prior to the Group’s scheduled departure provided all names, birthdates and payments have been received in our office. Should any of the required information not be received, the release of documents will be delayed. E-tickets can be retrieved from the Sunwing Vacations website(www.sunwing.ca/etix). Please contact Romantic Planet Vacations for access.
- Final rooming lists must be provided to Sunwing Vacations no later than 60 days prior to the group's departure date unless otherwise requested by the hotel depending on group size, type and stop sells. Rooming lists must specify special requests. While we do our best to accommodate all requests including bedding, location/adjoining/connecting rooms, they are based on availability only and cannot be guaranteed as they are subject to approval by our hotel suppliers. Sunwing Vacations will not assume responsibility should requests be denied.
- Full passenger names may be required at any point prior to departure. Failure to provide names within 48 hours of request may result in cancellation of your Group booking and cancellation penalties as outlined in this Contract would apply.
- Sunwing Vacations reserves the right to release contracted or chartered seats that are not committed to with a deposit or with full payment, as applicable, per the payment schedule. Should Group seats booked be cancelled under any terms, including airport no shows, the seats will be returned to inventory and Sunwing Vacations reserves the right to sell the seats and no refund will be issued for unused seats or seats resold
- All pricing per person and occupancies are based on the travellers's date of birth upon their last day of travel.
- It is solely the responsibility of all travellers and you, as their travel advisor, to ensure that valid and proper documentation is obtained for each traveller. Failure to provide valid documentation may result in denied boarding of the aircraft and cancellation of your flight arrangements without refund.
E-Tickets are released approximately 28 days prior to the Group’s scheduled departure provided all names, birthdates and payments have been received in our office. Should any of the required information not be received,
- Transportation costs are not included for excess baggage and/or sports equipment of any type that may require a separate in-destination transfer vehicle due to spatial restrictions. Please consult your Group Sales Representative for special arrangements and applicable costs, if any.

| * Changing all names on a file constitutes a cancellation. ** Total price is all money due and/or paid to Sunwing Vacations. *** If a change involves a difference in the holiday price in addition to the change fee, the passenger will pay the higher price between the original booking price and the revised booking price plus any additional tourist card fees if applicable. |

All changes and cancellations must be made IN WRITING to your designated travel agent BEFORE the deadline listed above.
Refunds are not issued for bookings cancelled by you or Sunwing Vacations resulting from an act of God or an Event of Force Majeure.
I/We have read, understand and hereby agree to the terms and conditions in this Contract as well as all of the terms and conditions incorporated herein by reference.
