This group booking is subject to The Tour Operator’s and Romantic Planet Vacations terms and conditions as follows below. Upon receipt of the group contract, you are bound by the terms and conditions therein.
Flight Times:
** All flight times and departures are always subject to change without notice up until the date of departure, so please check your departure time the day before your travel.
Your package is booked with a discounted chartered tour operator and as such, the flight schedule and times may not be released until 3 months prior to departure. Please be aware that it is common for discounted chartered tour operators to have flight times at all hours of the day or night. Please also note that the designated flight time by the airline is not within our control and will be forwarded to you once they have been released by the tour operator.
Connector Flights:
All connection flight reservations booked with a carrier other than Air Transat (as per tour operator – Transat Holidays) are made at the risk of the consumers who hereby agree to assume the cost of any loss in the event of a change to the original flight schedules. Any changes or cancellations are subject to penalties as per the carriers terms and conditions and may supersede the Tour Operator / Romantic Planet Vacations terms and conditions. The Tour Operator / Romantic Planet Vacations cannot be held liable for damages or additional fees incurred by the consumer due to a missed flight connection.
Hotel Room
You are guaranteed the room category for which you have booked and paid for however, sometimes hotels over-sell themselves. In this event, they will upgrade you complimentary to their next available room category. It is also very important to note that room requests such as king size beds, adjoining rooms and location of the room will be submitted to the hotel on your behalf but are NOT guaranteed. These are allocated by the hotel upon check-in. Any and all hotel-related issues MUST be addressed with hotel management directly at the time of their occurrence as most often we can not assist with resolving such matters after your return and after the occurrence and especially if you did not bring it to their attention at the time. They are best equipped to satisfy your needs while you are there.
Pre – Registration:
Please be advised that inventory is not yet available to be booked for our 2015/2016 seasons. The above booking is based on preliminary schedule, as the flying schedule is not yet finalized. Once the schedules are confirmed, and if there is a date change from the contracted group departure date(s), the group will then have the option to accept the schedule or cancel the group with a full refund.
Early Booking Bonus:
Your rates may include an Early Booking Bonus - which requires that all names and final payments must be received no later than the date stated on your invoice or rates increase. No name changes are allowed for EBB rates. Early Booking Bonus cannot be combined with any other offer. In order to qualify for Early Booking Bonus, all passengers staying in a room must participate. If booked with Early Booking Bonus - cancellation penalties are 100% non-refundable/non-transferable at the time of EBB final payment.
Deposits:
Deposit is required at time of booking. This confirms your spot in the group, and you are considered a confirmed attending guest. Deposits are 100% non-refundable, non-transferrable and are required to hold space. If you are unable to attend the wedding you need to notify Romantic Planet Vacations immediately, so that we can remove you from the manifest, and open it up for another guest. Your deposit is non refundable, failure to advise us that you are unable to attend, will result in a cancellation penalty of 50% up to 100% of your total invoice.
Final Payment:
Final payment is due on the date dated on your invoice. Any passengers who have not paid in full by this date can be cancelled without notice. It is your responsibility to pay your remainder on time. We reserve the right to cancel group space if you fail to comply with the payment schedule or other requirements outlined in this agreement. Penalties as outlined in this contract would apply.

Deposit Payment: $200pp at time of booking
Final Payment Due: Balance Due Oct26th, 2016
All payments must be received in the group before any travel documents can be released. Failure to pay by this date could result in cancellation of your booking.
NO CHANGES permitted for confirmed passengers 7 DAYS prior to FINAL payment or Early Booking Bonus.
Tickets / Documents
Tickets are normally released 1-2 weeks prior to departure.
No tickets will be released until Romantic Planet Vacations and the tour operator has received all payments for the group.
It is solely the responsibility of the passenger to ensure that valid and proper documentation is obtained. Failure to provide valid documentation may result in denied boarding of the aircraft and cancellation of your flight arrangements without refund.
Changes
Change of departure date or return date prior to departure:
Passengers may be excluded from the group. Group rate may not be applicable, brochure prices & conditions may apply.
91 days or more $50 per change
90-21 days prior to departure $150 per change
within 20 days from departure changes are not permitted (and as such will be recorded as a cancellation and therefore 100% loss of cost.)
Name changes
60 days or more prior to departure $50 per change
59-21 days prior to departure $75 per change
20-8 days prior to departure $200 per change
within 7 days from departure Names changes are not permitted (and as such will be recorded as a cancellation and therefore 100% loss of cost.)
-- Name correction anytime $25 per person
-- Changing all names on a file constitutes a cancellation
Reissue
To re-issue a document, a fee of $50 will be required (plus any fees applied by the suppliers)
Cancellation penalties – individual travellers or entire group:
(Cancellation of entire group includes loss of $500 group deposit)
60 days or more prior to departure: $200 penalty per person (loss of deposit )
59-45 days prior to departure: $350 penalty per person
44-21 days prior to departure: 70% loss of total package price
20 days or less prior to departure: 100% loss of total package price

** Please note: changes & cancellations are always subject to additional fees applied at the supplier’s discretion. **
Group Rates:
Group rates are only valid with a minimum of 10 paying adults departing on the same date and traveling to the same destination and/or returning on the same date from the same destination. If the group falls below 10, the rates will revert back to brochure rates and all passengers will be required to pay the difference.
Prices:
Prices are only valid for those seats originally booked. Any additional passengers are subject to current fares & taxes and availability. Prices are guaranteed for the passengers who are under deposit and appear on the contract/manifest. Passengers adding on to the group thereafter may be subject to increases for matters over which The Tour Operator / Romantic Planet Vacations has no control, including, but not limited to fuel surcharges, government taxes and currency fluctuations.
Infants:
Please note that although infants (0-2 yrs) may be no charge, they still have to pay for the tourist cards. This cost is different at each location. Please note on your documents once you receive them, what your cost will be upon arrival.
Taxes:
Taxes are subject to change without notice. The operator has the right to increase where needed. The only way to guarantee your rate is to pay in full at time of booking.
Local Departure Taxes:
Local departure taxes, if applicable, must be paid locally.
Seat Selection:
Group: Air Canada will block seats for a group booking, subject to availability. Although seats are blocked, actual seat numbers can change or be assigned on the day of departure during group check-in. Blocked seats for any group may be altered at any time prior to departure at the airline’s discretion.
Individual: For individual seats selection you will need to contact the airline directly. Fees may apply for advance seat selections and there may be an additional charge for upgrades where available.
**Please note, the airline reserves the right to adjust the seat numbers reserved in the case of an aircraft type change or routing change. Romantic Planet Vacations cannot be held liable for any changes made by the airline to seat numbers or seating arrangements made with advance seat selection.
Discounts, Gift Certificates, Points
Most tour operator vouchers/certificates/airline points cannot be applied towards group bookings. Some exceptions may apply.
Downgrades
Downgrade on rates/rooms will not be permitted for any group file.
Upgrades
Upgrades on rates/rooms/duration are permitted, however on request, and at an additional cost.
Sold Out / Stop Sell
In sold-out situations, tour operators reserves the right to request names and full payment prior to the final deadline date.
In stop-sell situations, tour operator’s reserves the right to request names prior to the due dates if the hotel has been stop-sold. Failure to do so will result in non-availability for all rooms without names. Once a stop-sell is in effect, changes are NOT permitted
Unsold Group Space
Romantic Planet Vacations and the Tour Operator reserve the right to retract any unsold group space, at anytime, should they require doing so.
